With a career in US Healthcare, Mr. Karthik Babu has worked across start-ups and MNCs, and today, holds the position of Director of Operations. His better half, also an IT professional, provides unwavering financial, moral, and emotional support. He is also a proud father of a 12th-grade daughter. Having lived in many localities in Chennai, Mr. Karthik Babu confidently says that Fairmont is one community that truly boasts love and friendship among neighbors.

Mr. B. Ganesh, a resident of VGN Fairmont, B3-8A, since August 2023, brings a wealth of experience to his role as an Election Officer. He is a former Senior Manager at a Public Sector Bank and a retired Project Manager from the IT wing of Standard Chartered Bank. Mr. Ganesh lives with his wife, who works at LIC of India. Their daughter, who is married and resides in Atlanta, USA, works for Amazon, while their son-in-law is employed at Microsoft. With his extensive background in banking and IT, Mr. Ganesh’s leadership and organizational skills are invaluable assets to the Fairmont community.

Mrs. Sumathi Vasudev, a former Joint Secretary of the Ministry of External Affairs, brings vast experience to her role as an Election Officer. She has served in leading capacities within the Ministry at Delhi and as a diplomat in London, Santiago, Abu Dhabi, and Dubai. Since retiring, she has pursued courses in Sanskrit and allied subjects. Her diplomatic experience and leadership skills make her a valuable asset to the Fairmont community, ensuring the election process is conducted with integrity and excellence.

ELECTION RULES
- Purpose: These rules guide the election of Executive Committee members for the association.
- Election Date: Election will be held on 7th July 2024. Physical polling will be conducted from 9.00 am till 1.00 pm on 7th July 2024 at Fairmont site.
- Voter Eligibility: Members eligible to vote are those listed in the Register of Members as of June 30, 2024, if the election is scheduled for July 2024.
- Provisional List: A provisional voter list will be displayed 10 days before the election, allowing 8 days for suggestions and objections. The list will be displayed on notice boards block-wise and will also be published online on the website.
- Final List: After considering suggestions, the final voter list will be published within two days.
- Election Officers: Election officers are chosen from members who are not candidates and have not proposed or seconded any candidate.
- Election Schedule: The election officer will declare a schedule, including nomination deadlines, scrutiny dates, withdrawal deadlines, voting, and result announcement dates.
- Voting Process: Voting is by secret ballot. Ballot papers will bear the association’s seal and be authenticated by the election officer.
- Counting and Results: Votes will be counted immediately after polling from 1.30 pm to 3.00 pm on 7th July 2024, and results will be declared the same day.
- Disqualification: Members who are in arrears, have disqualifications such as moral turpitude, financial irregularities, or have violated the bylaws cannot participate in the election.
- Ballot Box: The ballot box will be shown empty, sealed before polling, and reopened for counting in the presence of candidates or their agents.
- Records: Election records will be preserved for three months and destroyed unless there is a dispute.
- Candidates Contesting as a Team: If candidates wish to contest as a team, a symbol shall be allotted for their identification in the voting process.
- Executive Committee Elections and Office Bearers: Elections will be conducted for the executive committee members/directors. The elected executive committee members/directors will then choose the respective office bearers. This ensures that if any of the office bearers resign, are unable to continue, or need to be replaced for various reasons, the post can be filled by the executive committee members by consensus.
Nominations & Voting – A Quick Guide
Objective
To provide specific information pertaining to Nominations and Voters for Fairmont Association Election 2024.
Definitions
Members: “Members” shall primarily mean Owner or Owners of one or more apartments in the residential building known as “The Fairmont” as evidenced by the sale deed or other deeds.

How to File a Nomination?
- The “Election Nomination Form” needs to be filled out.
- The form needs to be submitted to the Election Officers in person by the candidate.
- Aadhaar card must be brought for initial verification.
- If a candidate is unavailable on both the form submission days (22nd and 23rd of June 2024), his/her representative can submit the form, showing the candidate’s Aadhaar copy.
- The Nomination forms will be accepted on Saturday (22-Jun-2024), Time: 5:00 PM to 7:00 PM and on Sunday (23-Jun-2024), Time: 10.00 AM to 11.00 AM.
- If a candidate is contesting as a team, a representative from the team is required to propose and submit the symbol of their choice. Election officers will review and provide their approval for the allotment of the symbol.
- A contesting “team” shall comprise not more than 15 candidates.
- The last date for filing nominations is 23-Jun-2024, before 11.00 AM.
What Happens After Filing of Nomination?
- The Election Officers will publish the received nominations on 23-Jun-2024 at 6.00 PM.
- The scrutinization process of nominations will happen on 24-Jun-2024.
- Scrutinization will include (Under section 18.9 of bylaws): a. No arrears in respect of any charges and any other amounts due to the Associations as of the date of scrutiny of nomination papers. b. Not incurred any disqualifications related to moral turpitude, financial irregularities, white-collar crimes, or violations of any bylaws of the Association.
- After scrutiny, the valid nominations will be published on 25-Jun-2024, before 11.00 AM.
- Withdrawal of nominations should be on or before 02-Jul-2024, 11.00 AM.
- The date by which a member can raise objections and suggestions on the nomination is 02-Jul-2024, 11.00 AM.
- The final list of contesting candidates will be published on 03-Jul-2024, 10.00 AM.
Who Can Vote & How?
- Every eligible member of the Association is entitled to vote.
- Residing members should cast their vote in person.
- Any member who is unable to cast their vote on election day can authorize/proxy a person on their behalf by filling up the “Fairmont Election Proxy Form 2024”.
- This proxy form must be sent from the registered email ID, addressed to vgnelectionofficers@gmail.com.
- Proxy forms will be accepted only once from a registered email ID, and any change/correction thereafter will not be entertained.
- A member or Proxy can cast up to 15 votes, one for each candidate on the contesting candidates list.
- A member or Proxy can choose from individual candidates or teams or a combination of both, not exceeding 15 votes.
Rules for Voters:
- Voters who are Owners & Co-owners voters : Aadhaar Card for proof.
- Voters who are other than Owners & Co-owners: Through the procedure of Proxy & bring Aadhaar Card.
- A voter carrying multiple proxy forms can vote for 3 proxy forms at one time. For any additional proxy forms thereof, the voter should join the queue back for next turn.
- Any ballot paper that has more than 15 votes casted by the voter will be considered as an invalid vote.
